Toray T700 Carbon Fiber Pickleball Paddles Taught Me an Efficiency Lesson

Here's an unpopular opinion: the fastest, cheapest quote is often the most expensive thing a supplier can send you. I'd rather work with a supplier who asks questions before sending a price than one who sends a price before asking anything.

I'm an office administrator at a 40-person product development company. Purchasing has been my responsibility since 2020, and I manage 60 to 80 purchase orders a year. I report to both operations and finance, which is a polite way of saying I have to justify every ambiguous line item to somebody. Our projects range from composite sporting goods to textile product development, so I source everything from performance carbon fiber to commodity fibers and coated fabrics.

I'm not a materials scientist, a textile engineer, or a coatings expert. I'm the person who asks clarifying questions that sound basic so our engineers don't discover the gaps when it's too late.

After five years of doing this, I've concluded that efficiency is not about speed. It's about reducing the number of times a purchase order has to be corrected. An instant quote for the wrong material isn't efficiency. It's delayed chaos.

A Toray T700 carbon fiber pickleball paddle started it

In 2024, a product developer asked me to source materials for a new Toray T700 carbon fiber pickleball paddle. It sounded simple. Toray is one of the best-known names in carbon fiber, and T700 is a widely used structural grade. But the more I looked into it, the more I realized the request was incomplete.

Toray carbon fibers are not one product. They come as woven reinforcements, unidirectional tapes, prepregs with different resin systems, and multi-axial fabrics. A paddle face made from a 3K twill weave behaves differently from a unidirectional layer or a prepreg with a specific resin. Tow size matters. Surface finish matters. The layup schedule matters. T700 is a starting point, not a full specification.

When I sent RFQs, the suppliers sorted themselves into two groups. One group replied with a price for T700 cloth and a generic datasheet. The other group asked questions: what manufacturing process do you plan to use? Is this for a pickleball paddle face or another application? What resin compatibility do you need? Can you share the target thickness and weight? Can we confirm the source of fiber for your compliance file?

The second group felt slower, but they were the efficient ones. A purchase order is a contract. When I write an incomplete contract, I'm asking for rework. Those suppliers moved risk to the beginning of the project, where correcting it costs a conversation, not a production batch.

I don't have hard data on how often a poorly specified carbon fiber order misses the mark. Anecdotally, I can tell you that at least one prototype project was delayed because the weave style did not match the expected standard. The quote had a price and a material name. It did not have enough information.

What most people don't realize is that a quick quote usually defaults to the vendor's most common stock item. That is not malicious; it's convenient. But what's convenient for the vendor and what's correct for your project are not the same thing.

Bright viscose staple fiber taught me not to skip adjectives

High-performance materials get the attention, but commodity fibers can be just as risky. Last year, a textiles team requested bright viscose staple fiber for a trial production run. The word bright is not decorative. In viscose staple fiber, bright usually refers to a lustrous finish, and it can affect dye uptake, appearance, and hand feel. But the specification should also include denier, cut length, crimp, and finish chemistry.

I typed 'bright viscose staple fiber' into the requisition. I skipped the staple length. The supplier's material was bright, technically, but it was not right for the customer's yarn count. I want to say the restocking fee was around $900. The bigger loss was a week of development time while the textile team waited for a replacement. If a vendor had asked 'What staple length do you need?' we would have caught it on the first call.

That experience reshaped my template. Today the phrase 'source of fiber' is in every textile RFQ I send. It sits next to brightness, luster, denier, and staple length. Viscose can come from different supply chains, and our customers increasingly ask for documents that prove exactly where a material came from. A supplier that cannot answer those questions creates friction downstream.

I also learned that a commodity material search still has a human component. When a salesperson asks detailed questions early, it usually means they will be equally precise about invoices, lot numbers, and delivery documents. Vagueness at the front end predicts vagueness at the back end.

And yes, someone asked if you can spray paint mesh fabric

The strangest question taught me the same lesson. A designer once asked, 'Can you spray paint mesh fabric?' A direct yes or no would have been easy. In a procurement context, it is not a useful answer without more information.

I'm not a coatings specialist, so I can't speak to how every paint system interacts with every mesh substrate. What I know from buying materials is that 'mesh fabric' is a category, not a material. It can be polyester, nylon, fiberglass, or a coated performance textile. The paint may need to be flexible, waterproof, UV-stable, or compatible with a fire-retardant finish. The fabric might be open-weave or monofilament. Paint behavior changes when the surface is not solid.

One supplier handled this the right way. He didn't quote immediately. Instead, he asked what the mesh would be used for, what kind of paint was planned, and whether the sample needed to survive outdoor exposure. That five-minute conversation was worth more than a ten-page guide. It prevented a wrong sample, a failed test, and a wasted order.

Again, the issue was not the visible question. The issue was the invisible set of assumptions underneath it.

But isn't material selection the engineers' job?

I can hear the objection: 'You're an admin buyer, not a material selector. Stay in your lane.' Fair. I don't choose between T700 and T800, and I don't recommend a specific viscose grade. What I do is choose vendors. The best vendors educate me just enough to write a better PO.

Manufacturers help by publishing clear technical literature. Toray's carbon fiber documentation is useful the same way a Pantone book is useful when ordering print. It doesn't turn me into a designer or a composites engineer. It keeps me from ordering the wrong material by name alone.

I'm not arguing against automation. In 2024, we moved to an online requisition system, and it cut our ordering time from about three days to under one day. That system also captures the extra fields I now ask for, like luster or source of fiber. Digital tools make it easier to standardize good questions. They don't replace the need for suppliers who know their products well enough to ask the right ones.

Efficiency is a competitive advantage, especially in B2B buying. It's not just speed. It's accuracy. It's transparency. It's asking the next question before the purchase order goes out.

So when you evaluate suppliers, don't compare only lead times and unit prices. Compare how many questions each supplier asked before quoting. That number is a better predictor of project friction than any spreadsheet I've seen.
